CBAN/IAMU 2025 Spring Summit Sponsor/Exhibitor Logistics

Thank you for being a sponsor and/or exhibitor at the CBAN/IAMU 2025 Spring Summit!

Below is important logistical information for all vendors exhibiting at the Spring Summit. Please review this information carefully to ensure a smooth and successful event.

Exhibitor Questionnaire

It is very important that every exhibitor representative planning to attend the Spring Summit fill out this brief questionnaire by Friday, April 11, 2025. Your answers will help us with final planning for meals and other arrangements. Thank you!

Venue Information

The summit will be held at the Gateway Hotel and Conference Center, located at 2100 Green Hills Drive in Ames, Iowa, 50014. Full map and driving details can be found here

Exhibits will be in the Prairie Rooms combined. Registration will be in the Gallery Lobby immediately outside of the Prairie Rooms.

If your display materials were shipped before your arrival, you may enter in the Conference Center Entrance (behind the Conference Center - drive under the building and take a left to drive to the entrance), then go to the Sales and Catering office where materials will be stored.

If you are bringing your materials with you in a vehicle, you will want to drive to the Conference Service Loading Areas marked on the map for a direct path into the Prairie Rooms.

Transportation Options

  • Airport: The nearest commercial airport is Des Moines International Airport. Transportation from the airport to the venue can be arranged via ride-sharing services (estimated fare will be $60-$90), or rental car.
  • Parking: Free on-site parking is available at Gateway Hotel and Conference Center.

Shipping Information

Exhibitors may ship materials to the venue in advance. Please address shipments as follows:

Please ensure shipments arrive no earlier than April 11, 2025 and no later than April 18, 2025. Contact Curt Miller at Gateway Hotel at curt.miller@gatewayames.com with questions about shipping.

Setup Times

  • Monday, April 21, 2025, 7:00pm to 9:00 pm
  • Tuesday, April 22, 2025 from 8:00am to 11:00am
  • All exhibits must be fully set up by 11:00am Tuesday

Exhibit Hours

The exhibit hall will be open during the following hours on April 22nd:

  • 1:00pm to 2:30pm
  • 3:30pm to 6:00pm

Light appetizers and bar service will be provided from 4:00pm to 6:00pm in the exhibit hall. Tear-down begins after the reception, please do not take your booth down until the reception ends at 6:00 pm. 

Exhibit Teardown

You may tear down your exhibit space after 6pm on April 22, 2025 or before 8:30am on April 23, 2025. 

Availability of Power and Internet

  • Power: Exhibitors that need power will be assessed a charge of $30 for power at their booth. If you need power at your space, please indicate that on the vendor questionnaire.
  • Internet: Complimentary Wi-Fi will be available in the exhibit hall. There are no hard wired connections available.

Guest Room Reservations

A block of rooms has been reserved at Gateway Hotel for summit attendees at a discounted rate of $134.00.

If you call in your reservation - (800) 367-2637 - please mention the CBAN/IAMU 2025 Spring Summit when making your reservation. The reservation deadline is March 31, 2025. 

​​Check-in time is 4:00pm and check out is noon.

Attendees

Attendees to the CBAN/IAMU 2025 Spring Summit will include representatives of broadband providers in the region and community leaders. All sponsors will receive a list of attendees, with contact details, after the event. 

Door Prizes

Exhibitors Reception Door Prizes (April 22nd)

  1. Exhibitors may offer door prizes at their discretion (optional)
  2. Attendees sign up for prizes directly at your exhibit booth
  3. At 5:30pm, a CBAN representative will visit your booth for the prize drawing
  4. At 5:45pm, winners will be announced over the PA system and directed to collect prizes from your booth

Conference Attendance Prizes (April 23rd)

  • Held at the conclusion of the conference to encourage full attendance
  • Premium items valued at $50+ (tablets, gift cards, coolers, etc.)
  • Contributing companies will be recognized during the prize drawing
  • Participation is completely optional

Please note: There is NO OBLIGATION to provide door prizes for either event.

Conference Sessions and Meals

Vendors are welcome to attend conference sessions and meals. In order to ensure an accurate food order, please take a few moments to answer the vendor representative questionnaire.
